Passport Seva Appointment: Documents Checklist (India)

Applying for an Indian passport starts online at passportindia.gov.in, but the document part of the process happens in person. Here's what that actually involves, and why it's still worth having clean digital copies of everything even though you won't be uploading them to the portal.

The online form doesn't need document uploads

According to the official Passport Seva application instructions, the standard process is to fill out the application form online, pay the fee, and book an appointment — there's no step where you upload scanned copies of your identity or address proof to the website itself. Instead, you bring the original documents, along with self-attested photocopies, physically to your Passport Seva Kendra (PSK) appointment.

This is a little different from many other government portals, so it's worth knowing in advance: the online part of Passport Seva is really just the form and the appointment booking, not a document submission step.

What to bring to your appointment

At minimum, you'll typically need the printed application receipt from booking your appointment, your original supporting documents (proof of address, date of birth, and identity, depending on your specific case), and self-attested photocopies of each of those originals. Because exact document requirements vary based on your circumstances — first-time applicant, renewal, minor applicant, name change, and so on — always check the specific checklist shown on your application confirmation rather than relying on a generic list.

  • Original identity, address, and date-of-birth proof documents
  • Self-attested photocopies of each original document
  • Passport-size photographs, if requested for your specific case

Why keep PDF copies anyway

Even though you won't upload anything to Passport Seva itself, having a scanned or photographed PDF copy of each document you're bringing is still useful — for your own backup, for filling out other forms later, or in case a document is requested again for a related process like a visa application afterward.

Converting a stack of photocopies into a single, well-organized PDF also makes it easier to find everything quickly if you're asked to produce a document again down the line.

Double-check before you go

Since document requirements can change and vary by application type, always confirm the current checklist on your specific appointment confirmation or the official Passport Seva site before your visit, rather than relying on documents you gathered for a previous, different type of application.

Use the Document Advisor before you collect anything

The Passport Seva site has a Document Advisor that asks a few questions, such as fresh passport or reissue, adult or minor, normal or Tatkaal, and then lists the documents for that case. Run it before you start photocopying. The list for a minor is different from the list for an adult, and a reissue after a change of name or address needs proof of the change.

Self-attested photocopies, done properly

Self-attestation means you sign the photocopy yourself to confirm it is a true copy of the original. Copy each document clearly, both sides where there is a back, and sign each sheet. Carry the originals as well: the copies stay with the office and the originals are checked and handed back.

If you only have a document as a PDF, such as an e-Aadhaar or a downloaded bank statement, print it at full size on plain paper. Printing a protected PDF may need the password first; Unlock PDF can save an unprotected copy of your own file for printing.

Make a digital set the night before

  1. Photograph each original and turn the photos into pages with Scan to PDF.
  2. Merge them into one file in the order of your checklist with Merge PDF.
  3. Add the appointment receipt as the first page, so the reference number is at the top.
  4. Save the file on your phone and somewhere you can reach from another device.

What the digital set is for

It does not replace anything you carry. It lets you reprint a copy that got creased or left at home, check a document number while filling a later form, and prove what you submitted if a question comes up during police verification. It is also a ready starting point for a visa application, where scans usually are uploaded.

The Passport Seva form has also offered an option to share certain documents from DigiLocker. If you see it on your form, it can reduce the paper you need to carry, but read what the appointment confirmation says about originals before relying on it.

Small things that cause a wasted trip

  • Name or date of birth spelled differently across documents
  • An address proof that is older than the checklist allows
  • A photocopy with the edge of the document cut off
  • Arriving without the printed or SMS appointment confirmation
