Scanning a passport properly

The passport is the document most often scanned badly. Open it flat to the photo page and photograph the whole two-page spread, so the machine-readable lines at the bottom are complete and nothing is hidden in the fold. Avoid flash, which bounces off the laminate; daylight from the side works better. If you are asked for pages with visas and entry stamps as well, scan them in page order and keep them in the same PDF as the photo page.

A government online system, where one is used for your application, has its own upload screen that states the accepted format and size for each document. Prepare a full-quality master set first, then make smaller copies for whichever channel needs them, and never overwrite the masters.

  1. Scan everything once at full quality and save it in a folder named Masters.
  2. Name each file with your surname and the document, such as SURNAME-passport.pdf and SURNAME-degree.pdf.
  3. For email, check the total size of the attachments. If it is too large, compress the scans on Balanced or send them in two messages.
  4. For an online form, read the limit beside each upload field and make a copy that meets it.
  5. Open each copy at full zoom and confirm the passport number, names and dates are sharp.

Photos and medical certificates

A photograph for the application normally has to be supplied as an image file, not inside a PDF, and to a stated specification. Take that specification from whoever is handling your application. A medical certificate is a single page with a doctor's signature and a clinic stamp; scan it in colour so the stamp is clearly a stamp and not a grey smudge.

Sending sensitive documents

A passport scan and a degree certificate together are enough to cause real trouble in the wrong hands. Send them only to an address you have confirmed belongs to your employer or lawyer.
