Preparing Certificates for University Admission Portals (Pakistan)

Unlike a single national system, most universities in Pakistan run their own online admission portals, each with its own upload requirements. A well-known example is NUST, which runs its NET entrance test and online application through its own admissions site, requiring applicants to upload scanned Matric and Intermediate certificates along with a photograph. Here's how to prepare those files regardless of which university's portal you're using.

There's no single national upload standard

Entrance tests like ECAT (mandatory for engineering admissions under the Pakistan Engineering Council) and ETEA (used mainly by KPK institutions) cover specific sectors, but general undergraduate admission is still handled per-university. That means the exact file format and size limit for uploading your certificates depends on which university's portal you're using — always check the current requirements on that specific application page rather than assuming they match another university you've applied to before.

What's commonly required

Most university admission portals, including NUST's online application system, ask for scanned copies of your Matric (or O-Level equivalent) certificate, your Intermediate (or A-Level equivalent) certificate, and a passport-style photograph. We couldn't confirm one universal format or size limit that applies across every portal, so treat the specific application page's upload instructions as authoritative rather than a fixed number repeated elsewhere.

  • Scan or photograph each certificate clearly and completely
  • Convert photos into whichever format the portal currently requests (commonly JPEG or PDF)
  • Compress files that exceed the portal's stated size limit
  • Keep a passport-style photo ready in the dimensions the portal specifies

If your upload keeps failing

A rejected certificate upload is usually a format or size mismatch rather than a content issue. If the portal accepts PDF and your scan is a large image file, converting it to a properly sized PDF — and compressing it if needed — typically resolves the problem.

Applying to multiple universities

Since requirements differ by university, it helps to keep a master set of your certificates prepared in a few common formats (a clean PDF and a JPEG version of each), so you can quickly match whichever format a specific portal asks for without redoing the scan every time.

Result card, certificate or equivalence?

Portals use precise words, and uploading the wrong paper is a common reason for an application to be marked incomplete. A result card or marks sheet shows subject-wise marks and is issued soon after the result. The board certificate (sanad) comes later. If the form asks for one and you upload the other, expect a query.

Students with O-Levels and A-Levels are normally asked for an equivalence certificate from the IBCC, because universities compare applicants on the local marks scale. If you are waiting for it, check what the university accepts in the meantime instead of uploading the Cambridge statement alone.

You will usually also need your CNIC, or a B-Form if you do not have a CNIC yet, and sometimes a parent's or guardian's CNIC. Scan both sides of a CNIC and place them on one page or two consecutive pages.

Making one file from the front and back

  1. Photograph the front and the back of the document separately, flat and in daylight.
  2. Add both photos to JPG to PDF, front first. Pages are created in the order you add them.
  3. Download the PDF and check both pages are upright. Fix any that are not with Rotate PDF.
  4. If the portal's limit is small, compress on Balanced and zoom in on the roll number, marks and board seal.

When the portal wants an image, not a PDF

Some fields accept only JPEG. If your certificate is already a PDF, PDF to JPG turns each page into a separate image. If the field has a size limit that the image exceeds, resize the image with your phone's or computer's photo editor, because our compression tool works on PDF files only.

A naming scheme for several applications

Applying to four or five universities means uploading the same documents many times. Name the files once, clearly, and reuse them: your name, then the document, then the format, such as ali-khan-matric-certificate.pdf and ali-khan-matric-certificate.jpg. Keep a note of each portal's limit next to its login details so you know which version to pick.

Before you press submit

  • The name and father's name match your CNIC or B-Form exactly
  • Roll numbers and marks are readable at normal zoom
  • Every page of a multi-page document is present
  • The photo meets the background and size rules shown on the form
  • You have saved or printed the confirmation page
