How to Add a Watermark to a PDF Online

A watermark is the simplest way to label a PDF as a draft, mark it confidential, or stamp your name across it before sharing. It takes seconds and doesn't require any design software.

What a watermark is actually useful for

Watermarks aren't just for stock photos. Freelancers use them to protect drafts before a client pays in full, businesses use them to mark internal documents as confidential, and teams use them to show a contract is unsigned.

A visible watermark also discourages a document from being passed around as if it were the final, approved version.

Who this is useful for

Freelance writers sending sample chapters, designers sharing draft mockups, consultants sending proposals before a signed agreement, and photographers sending low-res previews all use watermarks for the same reason — to protect a piece of work while it's still being reviewed or negotiated.

A simple way to share a draft safely

  1. Keep the clean original somewhere safe and never send it at the draft stage.
  2. Make a watermarked copy for review, labelled DRAFT or SAMPLE with your name.
  3. Send that copy. If the content is confidential rather than just unfinished, add a password with Protect PDF as well.
  4. When the work is approved or paid for, send the clean original.

How to add a watermark

The process is the same whether you're stamping one page or a hundred.

  • Open the PDF you want to mark
  • Type the watermark text (for example, 'DRAFT' or 'CONFIDENTIAL')
  • Drag it into position and set the opacity
  • Apply it across every page and download the result

How visible should it be?

The Opacity setting controls how strongly the text shows. A low value gives a light mark that stays out of the way of the content, which suits a company name or a “COPY” label. A higher value suits “DRAFT” or “SAMPLE”, where the point is that nobody mistakes the file for the final version.

Drag the text on the preview to place it, and use Reset to centre to put it back in the middle. The same text, position and opacity are applied to every page.

Choosing the text for a protective watermark

A watermark across the middle of the page is the most common choice and the hardest to crop out.

  • Open the PDF you want to protect
  • Add your name, business name, or 'SAMPLE' / 'DRAFT' as the watermark text
  • Place it across the middle of the page at a visible but not distracting opacity
  • Apply it to every page and download

Text watermark vs. stamping every page manually

Manually stamping each page in an image editor is slow and produces inconsistent results. An online watermark tool applies the same mark, at the same position and opacity, across every page automatically — which matters for anything longer than a couple of pages.

What a watermark can and can't do

A watermark is a deterrent and a visual claim, not a technical lock — it doesn't encrypt the file or prevent copying the way a password does. For content that genuinely needs to stay confidential rather than just marked, pair a watermark with password protection.

Watermark, stamp or header?
